An online invoice maker for everyday billing

An invoice tells your customer what you supplied, how much it costs and when payment is due. InvoiceWala brings the billing details, item calculations and PDF download into one form, so you can prepare a professional invoice without building a document from scratch.

How to create an invoice online

  1. 1

What should you include in an invoice?

Clear details make an invoice easier to understand and match to a payment. Before sharing your PDF, review the information your customer needs to approve and pay it.

For repeat work, keep item descriptions specific: “Website maintenance — October” is more useful than “Services”. Add a purchase order or project reference in the notes when your customer needs one.

  • Your business name and contact details
  • Customer name and billing address
  • A distinct invoice number, invoice date and due date
  • Item descriptions, quantities and unit prices
  • Applicable discounts, tax and the final total
  • Amount already paid and remaining balance
  • Payment instructions, terms and relevant notes

Create, check and keep track of your invoices

For freelancers

Bill for projects, milestones or hours. Explain the completed work and include the payment deadline agreed with your client.

For shops and service businesses

Add products, repairs or service charges as separate rows. Review quantities and prices before you send the bill.

For repeat customers

Create an account to save invoice history, reuse customer details and track payment status when you bill the same customer again.

What is an invoice, and when should you send one?

An invoice is a request for payment for products or services. It gives the customer a record of the purchase and gives your business a reference for following up. A useful invoice answers four questions: who is billing, what was supplied, how much is owed and when the payment should arrive.

Send your invoice at the billing point agreed with your customer. That might be after a delivery, when a project milestone is approved or at the end of a monthly service period. If you agreed to an advance payment, describe the advance clearly so it is easy to distinguish from the final project bill.

Invoice calculation example: from line items to balance due

Suppose you completed two website maintenance sessions at ₹2,500 each. You agreed to a 10% discount and already received ₹1,000. The example below uses no tax, so you can follow each step without assuming a tax rate for your business.

Illustrative service invoice in INR
Invoice fieldCalculationAmount
Subtotal2 sessions × ₹2,500₹5,000
Discount10% of ₹5,000− ₹500
After discount₹5,000 − ₹500₹4,500
Tax in this example0%₹0
Invoice total₹4,500 + ₹0₹4,500
Amount already paidPayment received− ₹1,000
Balance due₹4,500 − ₹1,000₹3,500

In the form above, enter quantity 2 and rate 2500, open Discount and enter 10, leave the tax at 0 for this example, and enter 1000 under Amount paid. Review the total and remaining balance before downloading.

Write invoice descriptions your customers can recognise

Specific descriptions help the person checking the invoice connect a charge to the work or order. Include the service period, deliverable, quantity or project reference where it helps. Keep private project information out of a description if it is unnecessary for billing.

Invoice, quotation or receipt: choose the right document

These documents support different stages of a sale. Choosing the right one makes the payment status clearer for both you and your customer.

Quotation

Use a quotation to propose products, services and prices before the customer approves the work. Include the scope and any conditions so the customer knows what the estimate covers.

Create a quotation →

Invoice

Use an invoice to request payment at the agreed billing stage. Include the items, invoice number, dates and amount due. If part of the payment has arrived, record it separately from the total.

Create an invoice →

Receipt

Use a receipt to acknowledge a payment you have received. It helps the customer keep a payment record. An invoice with an outstanding balance still needs payment even if an earlier instalment has been received.

Choose invoice numbers and payment terms that are easy to follow

Keep a consistent numbering pattern

A pattern such as INV-2026-001, INV-2026-002 and INV-2026-003 helps you find documents later. Choose a sequence that fits your records and check existing invoices before assigning the next number. Avoid using the same number for separate invoices.

If you bill across several projects, add the project reference in the notes rather than making the invoice number difficult to read. Our invoice number generator can help you plan a numbering pattern.

Make the payment request specific

Use the due date and Terms field to explain when and how the customer should pay. Match the terms you agreed with the customer. For a milestone bill, say which milestone it covers; for a monthly service, name the billing period.

Example: “Payment is due by 15 November 2026. Please include invoice INV-2026-001 as the payment reference. This invoice covers the approved homepage design milestone.”

Common invoice mistakes to check before downloading

Wrong customer or billing details

Check the billing name and address against the details the customer provided. The person receiving the invoice may need to forward it to a separate accounts team.

Unclear quantities or prices

Separate different items into their own rows. Confirm whether the rate is per hour, session, unit or project, and make sure the quantity uses the same basis.

Missing due date or payment instructions

A total alone does not explain the payment schedule. Include the agreed due date and enough information in the terms for your customer to make the payment.

Confusing the total with the balance due

The invoice total describes the bill. The balance due reflects payments already received. Check the Amount paid field so you do not request the same payment twice.

Using the wrong currency

Select the currency before entering prices. Switching the currency changes how amounts are labelled; it does not perform an exchange rate conversion.

Sharing without reviewing the PDF

Open the downloaded document and check names, dates, amounts and notes. Confirm that long item descriptions are readable and that the document reflects the agreement.

Why use an online invoice maker instead of a blank document?

A blank document gives you layout freedom, but you also need to maintain the table, calculate the amounts and check every total after an edit. An online invoice maker keeps the fields and calculations together. You can update a quantity or price and review the resulting total in the same place.

PDF is useful when you want to share a document with a consistent layout. Keep a copy of the final invoice alongside your customer records. If you work from a spreadsheet, use a clear filing convention so it is easy to match the PDF, payment reference and original calculation.

After you create the invoice

  • Review the downloaded PDF before sending it.
  • Use a recognisable filename containing the invoice number.
  • Send the document through your normal customer communication channel.
  • Keep the final version so later edits do not cause confusion.
  • Record payments against the correct invoice and follow up on the remaining balance.

For an overdue payment, the payment reminder generator can help you prepare a clear follow-up message.

Free invoice generator FAQs

Is this invoice generator free to use?

You can create an invoice and download your first PDF free without signup. Create a free account to save invoice history, reuse customers and track payments.

How do I create an invoice online?

Enter your business and customer details, choose an invoice number and dates, then add the products or services you supplied. Check quantities, prices, discounts, tax and the balance due before downloading the PDF.

Can I add tax and discounts?

Yes. Each item row includes a tax percentage and discount controls. Enter the rates that apply to your transaction and check the calculated totals before sharing your invoice.

Can I record a partial payment?

Yes. Enter the amount received in the Amount paid field in the invoice totals. The balance due updates to reflect the remaining amount.

Can I use this for freelance or shop invoices?

Yes. Use service descriptions for freelance work, consulting or repairs, and item names with quantities for products. Add payment terms and notes to explain the work and when payment is due.

Can I change the invoice currency?

Yes. Open Invoice settings beside the form to select INR, USD, EUR, GBP or AED. Check that your prices match the selected currency; changing currency does not convert amounts.

Will my draft be saved?

The page keeps a draft on this device using browser storage when available. A local draft is not a saved account invoice. Sign in and save the invoice to keep it in your invoice history.

What should I check before sending the PDF?

Review the customer name, invoice number, dates, item descriptions, currency, tax, total and payment terms. Preview the downloaded PDF before sending it to your customer.

What is the difference between an invoice and a receipt?

An invoice requests payment and shows what is owed. A receipt acknowledges money received. Use the invoice to explain the bill and a receipt when you need a separate payment acknowledgement.

Can I invoice for hourly work?

Yes. Describe the service, enter the number of hours as the quantity and your hourly price as the rate. For fixed-price work, use quantity 1 and enter the agreed project or milestone price.

How should I number my invoices?

Use a consistent pattern and check your records before assigning a new number. For example, INV-2026-001 can be followed by INV-2026-002. Keep project references in the notes when that makes the number easier to read.

Can I add my business logo?

Yes. Use Add your logo at the top of the invoice form to choose an image from your device. Review the downloaded PDF to make sure the logo is clear and the business details are correct.

Do I need a spreadsheet or document editor?

No. Enter your details directly in the online form and download the invoice as a PDF. You do not need to create a separate spreadsheet or format a document before using this page.

How do I invoice for a project milestone?

Describe the milestone in the item row and enter the amount agreed for that stage. Add the project reference and scope in the notes, and choose the due date from your payment agreement.

Does the tool send the invoice to my customer?

This page lets you prepare and download an invoice PDF. Review the document and share it through your usual email or customer communication channel.

Can I use the tool on my phone?

The invoice form works in a mobile browser. Enter the details, review all item columns and check the totals before downloading. You can also use a desktop browser when entering longer invoices.
